1. We have tried offshore before and it did not work out. Why would this be different?
This is the question behind every other question on this list. Most US firms that had a bad offshore experience encountered one of three problems — inconsistent quality, communication gaps, or staff turnover mid-engagement. We are a CA firm, not a staffing agency. We make sure the work we deliver passes through two set of eyes before sending out. If the work does not meet your standard on the first engagement, we do not ask for a second chance — we earn it.
2. How do we know the quality will be consistent?
Consistency comes from process, not promises. Every return that leaves our desk goes through the same checklist — diagnostics run, prior year compared, open items flagged before the return is completed rather than after. We do not deliver a return and then wait to see if you find something. We flag it first. You can evaluate this yourself before committing to anything — we offer a no-cost trial on your five returns specifically so quality is demonstrated, not assumed.
3. Do you sign the returns?
No. We are preparation-only. Every return is prepared by us and reviewed and signed by you as the responsible preparer. You apply your PTIN, you review the work, you file with your client. The signing authority and the client relationship stay entirely with your firm.
4. What happens if there is an error in a return we prepared?
We correct it at no charge, we document exactly what changed and why, and we review our process to understand how it happened. We do not dispute errors — we fix them.
5. Is our client data safe being sent to India?
Every engagement begins with a signed mutual NDA before any file is shared. All documents are transferred exclusively through encrypted client portals — ShareFile or whichever your firm prefers. We do not accept or send client documents over email attachments, or any personal messaging application. Client data is stored and processed on systems that are completely separate from all other work — no shared folders, no mixed filing.
6. Are you compliant with US data privacy requirements?
Yes. We follow a strict data handling protocol aligned with IRS Publication 4557: Safeguarding Taxpayer Data — which is the standard the IRS expects of all tax preparers handling US taxpayer information. This includes encrypted storage, access controls, NDA requirements, and secure transmission protocols.
7. How do we communicate during the preparation process?
We use email for formal queries and document requests. For quick questions during preparation we are available on Microsoft Teams. You will always have a direct line to the person preparing your returns.
8. What software do you work in?
We work in Drake Tax and CCH Axcess — either through remote desktop access to your system or via file exchange depending on your preference. For firms using Lacerte or UltraTax, remote desktop access to your system is the cleanest workflow and we are comfortable with both. For bookkeeping clients we work in QuickBooks Online and Xero. If your firm uses a platform not listed here, tell us on the first call — in most cases it is either something we already know or something with a short learning curve we can handle in the onboarding period.
9. We are a small firm — is this arrangement only for larger practices?
The firms we work best with are actually small to mid-sized — typically two to thirty staff. Larger firms have internal offshore infrastructure. Smaller firms are where the capacity gap is most real and where a reliable offshore partner makes the most tangible difference. If you are a sole practitioner or a two-partner firm carrying more volume than your team can comfortably handle through tax season, that is exactly the situation this arrangement is built for.
10. What happens during US tax season — can you handle the volume and the deadlines?
Tax season is when this relationship either proves itself or does not. We plan for it the same way your firm does — capacity mapped in advance, turnaround commitments made before the season begins, and a clear escalation process if something unexpected comes up. Our standard is 48 hours for individual returns and 72 hours for business returns from receipt of complete documents. If documents arrive incomplete we flag it within a few hours rather than letting it sit. We do not disappear in March and April — that is precisely when we are most available.
11. How do we start — what does the first engagement actually look like?
A thirty-minute call first, to understand your firm's size, the return types you handle, your software, and whether the arrangement makes sense for both sides. If it does, we sign an NDA, agree on the workflow, and you send us five returns to prepare at no cost. You review them. If the quality is where it needs to be, we agree on pricing and turnaround terms and begin the engagement. If it is not, you owe us nothing.
